The protection of your personal data is important to us. With this Privacy Policy we aim to provide you clear and transparent information on how your data is processed within our organization.
We do our best to guarantee your privacy and therefore carefully process your personal data. Pilotfish has implemented the applicable regulations and procedures, including the General Data Protection Regulation (GDPR). As a result of this, we in all cases:

Processing of personal data
Below is outlined per category for what purpose your personal data is processed, what data is processed, how it was obtained and for how long it will be safely processed.
Customers or suppliers
Personal data of customers or suppliers are processed by Pilotfish for the following purpose:
- administrative processing
- communication on project assignment and/or invitation
- execution of an assignment or placing an order
Base of this personal data is the signed quotation or confirmation order.
For the above-mentioned purpose, Pilotfish can request the following personal data: name details, job title, company name, company full address, company VAT identification number, telephone number, email address, social media contact details and other communication software contact details.
Your personal data will be processed to serve the above-mentioned purposes for the duration of the term of the agreement; thereafter only for the financial records for a maximum period of 7 years.
Newsletter subscribers
Personal data of subscribers to our newsletters are processed by Pilotfish for the purpose of providing information to the subscriber by means of news topics.
Base of this personal data is your subscription to the newsletter.
For the above-mentioned purpose, Pilotfish can request the following personal data: email address.
Your personal data will be processed to serve the above-mentioned purposes for the duration of your subscription to the newsletter.
Prospects
Personal data of prospects are processed by Pilotfish for the purpose of providing information by means of news topics and/or direct communication.
Base of this personal data is your verbal approval, your business card provided to us and/or connection via LinkedIn or XING.
For the above-mentioned purpose, Pilotfish can request the following personal data: name details, job title, company name, email address, social media contact details and other communication software contact details.
Your personal data will be processed to serve the above-mentioned purposes for the duration of the period you are considered to be a prospect.
Persons participating in user tests
Personal data of persons participating in user tests are processed by Pilotfish for the purpose of executing the user test as outlined.
Base of this personal data is the user test agreement.
For the above-mentioned purpose, Pilotfish can request the following personal data: name details, full address, telephone number, email address, date of birth and any other user test specific information described in the user test agreement.
Your personal data will be processed to serve the above-mentioned purposes for the duration of the project related to the user test.
Transfer of personal data to third parties
The personal data provided to us can be made available to third parties only if it serves the purpose the personal data was obtained for, as described previously.
We make use of third parties to:
- carry out the accounting
- carry out (maintenance of) internet-related activities
- carry out the sending of newsletters and invitations
- carry out data storage
Such data is never provided, unless a Data Processing Agreement (DPA) is in place. In such a DPA, strict terms are agreed to secure the safe processing and/or storage of your personal data. Furthermore, we will not provide your personal data to third parties unless so required and permitted by law. This could be the case, for example, during a police investigation. With your written approval, we are also allowed to share your personal data with third parties.
Within the European Union
We do not provide personal data to third parties based outside the EU.
Minors
We only process personal data of minors (persons under the age of 16 years) when written permission has been obtained from the parent, caregiver or legal representative.
Retention period
Pilotfish does not store personal data longer than necessary for the purpose for which the data was provided or as required by law.
Security
We have taken appropriate technical and organizational measures to protect your personal data against unlawful processing, including, for example, the following measures:
- All persons who have access to your data on our behalf are obliged to maintain confidentiality.
- We use a username and password policy on all our systems.
- We pseudonymize and apply encryption of personal data if there is reason to do so.
- We generate back-ups of personal data to recover these in case of physical or technical incidents.
- We test and evaluate our measures on a regular basis.
- Our employees have been informed about the importance of the protection of personal data.
Rights concerning your data
You have the right to inspect, amend or delete personal data we have received from you. In addition, you may also object to the processing of your personal data (or of part thereof) by us or by one of our data processors. You have the right to have the data you have provided transferred to you or to another party directly by order of you. We may ask you for identification before we can comply with the aforementioned requests.
In case we process your personal data on the basis of permission granted by you, you will always have the right to withdraw this consent.
Complaints
If you have a complaint about the processing of your personal data, we kindly ask you to contact us directly to solve the issue. In case it is not possible to come to a satisfactory solution for both parties, you have the right to file a complaint with the Dutch Data Protection Authority (the supervisory agency in the field of privacy protection).
